Audio calls and Call Transfer

NOTE: Regardless of the method used to make a call, if your Lync phone is connected to the USB on your computer, you may see the Lync call initiate on the computer as well. The following is an example of a call placed from the phone using the keypad:

                                  

Search for a person and make a call

Search for a Person and Make a Call

  1. Simply press the numbers on the number pad that corresponds to the contact name

    For example:
    To find "Joe Bloggs"you would need to search for "Bloggs Joe"

    NOTE: When searching you need to search for last name, then a comma, then space then first name

  2. On the number pad, press 256447**563
    (to spell his name, where * is the comma and space between the last and first name)
  3. Press the Call button
    NOTE: In some cases, just the last name or first name will show the result

Placing a caller on hold

To Place a Caller on Hold

When you are in a call, and have the "In Call" screen showing

  1. To put the call on hold, simply press Hold (button on the bottom right of the screen
  2. To Resume the call, press Resume

Add Others

To add others to a conversation

WARNING: Remember to put yourself on hold when adding others to your conversation. As the person on the other line can hear you.

When you are in a call, and have the "In Call" screen showing

  1. Select Menu
  2. Using the phones arrow button the right, scroll to Add Others
  3. Enter a phone number or select a Contact
  4. Select Add
    To add more participants, repeat this procedure

Transfer a call

NOTE: There are 4 ways to transfer a call:

  1. Transfer the caller to a Parking Lot (The caller is placed on hold and can be retrieved by someone else)
  2. Transfer the caller to someone else Directly (without talking to the other person first)
  3. Transfer the caller to someone else with a Consult (talk to the person first before you transfer the call)
  4. Transfer the call to your Mobile Phone

Transfer to Parking Lot

Method 1: Transfer the caller to Parking Lot

  1. When you are in a call, and have the "In Call" screen showing, press the Menu button
    This will show the following Menu:

  2. Use the phone arrow buttons to scroll to Transfer to Parking Lot
  3. Press the OK button (button between the arrow buttons)
    The call will be placed on hold
  4. A notification will appear on your screen telling the number someone can call to retrieve this call
  5. Contact the person who you want to answer the call
  6. Give them the number from the notification
  7. They can then dial this number from their phone and retrieve the call

Transfer Directly To

Method 2: Transfer Directly To

  1. When you are in a call, and have the "In Call" screen showing, press the Menu button
    This will show the following Menu:

  2. Use the phone arrow buttons to scroll to Transfer Directly To
  3. Press the OK button (button between the arrow buttons)
  4. Enter the Phone Number or use the phone's arrow buttons to select a Contact who you want to transfer the call to
  5. Press the Call button

Consult then Transfer To...

Method 3: consult then transfer to...

  1. When you are in a call, and have the "In Call" screen showing, press the Menu button
    This will show the following Menu:



  2. Use the phone arrow buttons to scroll to Consult then Transfer To...
  3. Press the OK button (button between the arrow buttons)
  4. Enter the Phone Number or use the phone's arrow buttons to select a Contact who you want to transfer the call to
  5. After you talk to the person you are transferring the call to, press the Complete Transfer button

Method 4: transfer to mobile phone

  1. When you are in a call, and have the "In Call" screen showing, press the Menu button
    This will show the following Menu:

Manage Multiple Calls

What to do with multiple calls?

When you are on a call, and receive another call, you can choose to:

  1. Answer
    Press soft key
    If you choose to answer the call, the previous person you were talking to will be put on hold
  2. To Voice Mail
    Press soft key
    If you choose Voice Mail, the caller will go to Voice Mail
  3. Another option is you can put yourself on Do Not Disturb however DO NOT forget to remove yourself from this status!

If by accident you click Menu, you can choose Ignore from the Menu and the caller will be sent to Voice Mail.

Merge calls

How to merge active?

If you are in more than one call on your desk phone and would like to merge them, read below:

NOTE: Merging calls is done on the device itself and not creating a Lync Conference. This means if the user who hit the merge calls hangs up, it drops all participants from the call.

  1. While you are in a call, Press Menu
  2. Using the phones arrow button, scroll to Merge Calls
  3. Press the Select button (button between the arrow buttons)The two separate calls will then be merged into one conference call, along with the participants' names
